WhenToWork "Must See" Features

You can choose to use just the basic features of WhenToWork but here is an overview of some of the many included features you also might like to take advantage of when using our system.
 
Access via our mobile version

 

Not only can access your schedules from any computer connected to the Internet but we have a mobile app designed for the iPhone, iPad, Android and Blackberry that works great on most smart phones. Managers can see their schedules and make quick schedule changes, employees can see their schedule and you can control what functions they can perform.
   
Know which employees have viewed or confirmed receipt of their schedule each week.
Employees can choose to be emailed their schedule when you publish and that email contains a special link they can click to confirm receipt. You can then use the By Employee schedule view to see at a glance who has viewed online, been emailed or confirmed receipt of their schedule. This can be helpful in knowing who might need to be contacted to confirm that they know when to work.

Send schedule reminders to all those working certain days.

 

If you have ever thought for instance it would be nice to send a message to all employees working next weekend to make them aware of a certain situation you can do this with Schedule Reminders. Choose the date range, enter a subject line and message, and only those employees who are scheduled during that time will receive by email with a list of their shifts along with your message.

Allow employees to trade shifts and pick up open shifts online.

 

You can allow employees to trade or pick up open shifts on a published week when they sign in. There are many tradeboard settings that can make your scheduling job much easier by allowing employees to work out shift trades amongst themselves, and you can let them do this "at will" or only with your approval.

Take advantage of AutoFill.

While you can create and assign shifts manually, the power of our system is in Importing from a previous week or saved template and then using AutoFill to assign shifts based on employee work time preferences for that week. This will automatically assign shifts in the best manner for all employees while making sure your shifts are covered. It also can be used to evenly distribute "special" shifts across all workers.

Try out our Analyze feature.

When Employees change their work time preferences it does not affect any already scheduled shifts (those preferences are just used by AutoFill the next time you use it). Periodically you can use the Analyze button on the Sortable List schedule view to see how the assigned shifts line up with the current employee work time preferences or other constraints that might have changed after that schedule was created.

Advanced Notifications.

 

Each user can log in and set up their own email and text message addresses and choose when they want to be notified at each address.  Managers with permission to edit employees can also set these up for the employees.

Set up other Managers to help with the scheduling.

 

You can add as many additional managers as you like and set what functions each one can perform when they use their Manager login.

    Try Google Calendar Export to see your up-to-date schedules at a glance

    Whether you use Google Calendar on your phone or computer - create as many exports as you like of various parts of the schedule to display on your Google Calendar. As changes are made in WhenToWork your Google Calendar is automatically updated. Or create calendars for third party viewing of your schedules. Employees can export their calendars too and use it to set up auto-reminders etc. (no more excuses!)
